Executive Assistant to the Executive Director

This position performs a variety of highly responsible, confidential and complex secretarial and administrative duties for the Executive Director, the Special Assistant to the Executive Director and occasionally to other managers; acts as a liaison between the Executive Director, outside agencies and the general public; and maintains confidential and sensitive information.

Position Details
Essential Job Functions
Specific duties of this position include, but are not limited to:
  1. Exercises independent judgment in relieving the Executive Director of administrative details and performs a wide variety of administrative and secretarial services; screens visitors and phone calls; routes calls or answers questions and handles general problems such as complaints or requests for information as appropriate; maintains appointment calendar, coordinates travel and meeting needs of the Executive Director; reviews and coordinates mail and documents for signature.
  2. Serves as confidential secretary for the Executive Director by drafting, typing, proofreading and processing a wide variety of complex and confidential reports, letters and memoranda; independently prepares correspondence or assigns to others as appropriate; types from rough draft or verbal instructions; assists the Executive Director in maintaining effective communications with the staff, CRITFC Commissioners, tribal staff, outside agencies and the general public.
  3. Develops and maintains filing system for the Office of the Executive Director; maintains records, locates files, documents and other information as necessary; researches and provides information on subjects as appropriate and as requested.
  4. Researches and assists in preparation and monitoring of the annual budget and strategic work plans; complies and inputs budget data; submits budget recommendations for the executive office and staff; manages the administrative services budget; monitors the OED budget and assists the Executive Director in managing the budget.
  5. Serves as lead for assigned strategic activities and projects, including administrative support systems, records archiving and others as outlined in the Strategic Work Plans.
  6. Coordinates with other departments in the preparation of Commission books and correspondence; oversees the Commission Recording Secretary position.
  7. Reviews completed OED correspondence and reports for accuracy, form and completion; monitors administrative activities of the OED administrative assistants and coordinates shared duties of other administrative staff.
Job Requirements/Qualifications
  1. Good typing, grammar and computer skills

  3. Excellent filing and organizational skills
  4. Professionalism and confidentiality
  5. A minimum of five years administrative experience is required, two years of which should be in a lead or senior position. Knowledge of tribal governments.

    In addition, the following qualifications are desired:
  6. An Associates or Bachelor’s degree in Business Administration or other relevant discipline is desirable.
  7. Experience in federal records management is also desirable.
Supervision Received
This position reports to the Executive Director.
Supervision Given
This position supervises an Administrative Assistant and a Receptionist. The position also coordinates some administrative duties shared by administrative assistants in other departments, such as reception backup, meeting coordination, etc.
Working Conditions
Work is primarily performed in an indoor office setting with extended periods at a computer. Physical effort is needed to move, lift and carry office equipment, supplies, files and materials. Basic communication skills such as talking, seeing and hearing are needed for frequent person-to-person contacts and telephone usage. The nature of the work has frequent interruptions; contact with the public and staff requires strong communication skills. May occasionally be required to work beyond normal working hours and to travel offsite, including overnight travel.
